We are recruiting a Commercial & Events Coordinator to join our supporter owned football club on a full time, permanent basis.

This is an exciting opportunity to become an integral part of the team at St James Park in a varied role where you will utilize your administration, coordination and creative skills to support the commercial department.

The successful candidate will carry out general administration duties for the commercial department including being responsive to calls and email communication, issuing agreements, scanning, filing, coordinating all matchday hospitality bookings, drafting seating plans, matchday itineraries and issuing invoices. As part of this role you will be required to work home matchdays as a Host within one of our lounges where you will engage with guests ensuring their needs are met and they are having a great experience.

In regard to the events coordinator side of this role you will be responsible for responding to all non matchday event enquiries and ensure bookings are handled in line with policy and delivered consistently to a high standard of service, ensuring the best possible experience for new and existing customers.

As part of this role you will need to ensure you adhere to the agreed service standards and will therefore take responsibility for liaison with the Facilities Manager in line with any confirmed bookings to ensure facilities have been cleaned and rooms are set up. There will also be a need to liaise with the Bar Manager and any relevant contractors/suppliers regarding any food and drink requirements ensuring the appropriate information has been communicated.

Other duties will include making sure the rooms have been dressed in line with the customer requirements and ensuring you are present on site to welcome customers and available throughout to ensure the customers’ needs have been met and they leave wanting to return to St James Park. You will also work with the Chief Commercial Officer and Commercial Manager to increase non matchday events and awareness of the facilities at St James Park, City Centre.

We are looking for candidates with a keen eye for detail and a proven track record in delivery high standards of service and presentation. Within this role you will need to be reactive to customer needs and proactive in coming up with solutions and resolving any issues. Candidates need to be enthusiastic, dynamic individuals that are innovative thinkers with the ability to work collaboratively within a team but also work on your own initiative.

Candidates must have customer service, event coordination and administration experience. Excellent organisation and time management skills are essential and the ability to communicate effectively at all levels both verbally and in written communication.

As Commercial & Events Coordinator you will need to be friendly, confident, immaculately presented and capable of building and maintaining professional working relationships. Experience of using an events management booking system would be beneficial but is not essential, however good IT skills and a good working knowledge of word and excel is essential.

Due to the nature of this role and our strategy to increase events we are looking for candidates that are able to have the flexibility to work evenings, weekends and bank holidays when required in line with the business needs. As this is a full-time role the successful candidate will be contracted to 40 hours per week and core working hours agreed, however due to the nature of this role a rota will be agreed 2 weeks in advance in line with confirmed bookings.

Interview format: Panel interview including the Chief Commercial Officer, Commercial Manager and HR Manager.
